Problem space

There are thousands of project management system..So, why us?

Every project management has their own unique traits but what is lacking in these so that people tend to change their management or use more than one.

  • Not-so-intuitive configuration

  • Many hidden feature

  • Too complex

  • Hard to navigate

  • Complicated epic and roadmap

  • Longer learning curve

  • Complicated onboarding

Did you know..?

In a survey conducted by Wellingtone in 2020, 47% of respondents indicated that their organization faced challenges with project management tools. Similarly, a study conducted by Capterra in 2019 found that 44% of users of project management software perceived the tools to be overly complex.

Whose problem are we trying to solve?

Our primary user base consists of individuals and organizations that depend on project management tools such as Jira, Asana, ClickUp, or similar systems.

So...

How can we design a user-friendly project management tool that effectively caters to the needs of individuals and small and medium based organizations those relying on complex platforms, ensuring seamless usability and enhanced user experience?

Competitor analysis

By conducting a competitive analysis with other platforms, we were able to analyze the strengths and weaknesses of existing solutions. This process helped us identify strategic opportunities for "Maven PMS's" distinctive value proposition.

Research method

To gain insights into the pain points, preferences, and behaviors of potential users, we conducted a survey research using "Google Forms". This survey was distributed among individuals currently utilizing project tracking platforms, working for small to medium sized business, inquiring about their experiences and desired features for our platform.

We collected total 30 responses - and here is quick summary of what people are saying

50%

Of individual dedicated

several days to learning

about the platform.

15%

mentioned infrequent use

of the platform, typically

checking it once a day

to review assigned tasks.

20%

about the purpose of certain

features, often feeling cluttered

and overwhelmed by them.

Questions

Undoubtedly, we encountered a few "Questions" from the survey, which some participants raised when prompted to leave a comment at the end of the survey.

Question #1

Why would users choose your software over established platforms like Jira, which they can learn to use over time effectively?

Our Solution

We designed a solution where it offers an intuitive interface and simplified navigation, making it accessible for even non tech-savvy individual without extensive training, catering to businesses with time or resource limitations.

Question #2

Apart from project tracking, what sets your platform

apart?

Our Solution

Our platform offers a unique feature called the Retro Board, where users can engage in weekly discussions through polls. This interactive space prompts reflection on team performance, including highlighting successes, identifying areas for improvement, and collaboratively planning actionable steps for progress.

Testing and Iterations

Following the creation of mid-fidelity wireframes and integrating interactions, we conducted a user testing interview for exploration. we gathered their feedback and tackled any issues they encountered while interacting with the prototype. Upon testing, we enhanced two significant changes to improve the user experience.

Poor visibility and placement of the

form

User found the placement of the form on the right side distracting, potentially disrupting their natural scanning pattern and requiring extra effort or attention.Additionally, it was remarked that the form appears relatively small and may pose visibility challenges for individuals with visual impairments.

Increase in form size

Positioning the form at the center of the screen as a pop-up modal would enhance the efficiency of form usage. Additionally, increasing the font size and expanding the screen coverage (width and height) would improve navigation and scanning processes for all users, regardless of visual impairment.

Bulky department navigation and

date display

The user found department division and expansion cumbersome, worried about congestion with more milestones, and suggested moving the filter to the top for better usability. Additionally, a quarterly view would make more sense than a yearly one.

Introduced epic - A simpler solution

Introducing "Epic" instead of department simplifies roadmap, eliminating pop-up features ability to see the completion percentage. Filter options like "Weekly," "Monthly," and "Quarterly" are now conveniently located at the top.

High fidility designs

Following the identification of solutions to encountered challenges, our efforts pivoted towards the creation of high-fidelity designs and prototypes.

Guide to main Page

The onboarding process is designed to be concise and straightforward, addressing users' preference for simplicity. Users can quickly input their details, establish their first organization, add projects, and invite teammates.

Backlog

Having a feature that allows for effortless addition and deletion of issues or sub-issues, as well as simple initiation and completion of sprints, without the need for navigating through a complex process, is remarkably efficient and convenient.

Sprint board & Roadmap

An easy way to display issues with subtasks and attachments, along with the ability to drag issues to modify their progress.

The roadmap assists users in categorizing their issues under various headings, for instance "login process" comes under onboarding (the heading).

Worklog

This functionality serves as a timesheet for managers or supervisors to review the tasks and time spent by employees on each issue.

Key takeaways

01

Prioritizing simplicity and intuitiveness in user interfaces involves designing the system to be easy to understand and minimize complexity.

02

By identifying and addressing key functionalities early on, it ensured that the project moves forward smoothly, without encountering any delays.

03

Testing with real users to identify usability issues early on would help to uncover and address potential issues that could have arisen later.
